How to Add a Logo or Image to Your Outlook Signature (2026)

Step-by-step instructions to add a logo or photo to your email signature in new Outlook, classic Outlook, the web, Mac, and mobile, plus the right image size and why logos sometimes break.

The short answer: In new Outlook or Outlook on the web, go to Settings → Accounts → Signatures, click the image icon in the signature toolbar, and insert your logo. In classic Outlook for Windows, go to File → Options → Mail → Signatures, select your signature, and click the image icon to insert it. Use a logo around 150 to 300 pixels wide and host it somewhere reliable so it is not sent as an attachment. A logo is what makes an email signature look like it belongs to a real company instead of a plain text footer. Here is how to add one in every version of Outlook, the size to use, and how to stop it from breaking for your recipients.

Before you start: get your logo ready

  • Format: use PNG (best for logos with transparency), JPG, or GIF. These render in every email client. Avoid WebP and SVG, which many clients (including Outlook) will not display in email.

  • Hosting: the most reliable logos are hosted at a public URL rather than pasted from your desktop, which helps avoid the “image sent as attachment” problem described below.

New Outlook and Outlook on the web

  1. Click Settings (the gear icon), then Accounts → Signatures.
  2. Select an existing signature or click New signature.
  3. In the signature editing box, click the insert picture / image icon in the formatting toolbar.
  4. Choose your logo file (or paste an image you have copied).
  5. Resize if needed, set the signature as your default for new messages and replies, and click Save.

Classic Outlook for Windows

  1. Go to File → Options → Mail → Signatures.
  2. Select the signature you want (or create one with New).
  3. In the edit area, click the image icon on the right of the toolbar.
  4. Browse to your logo file and insert it.
  5. To link the logo to your website, select the image and click the hyperlink icon.
  6. Set your defaults and click OK.

Outlook for Mac

  1. Go to Outlook → Settings → Signatures.
  2. Create or select a signature.
  3. Drag your logo into the signature editor, or use Insert → Picture.
  4. Set the signature as default for your account.

Outlook on mobile (iPhone and Android)

The Outlook mobile app only supports a plain-text signature in its own settings, so you cannot insert a logo there directly. The reliable way to get a logo on mobile is to have the signature applied to your account rather than set on the device. Why your logo breaks (and how to prevent it)

  • It arrives as an attachment. When a logo is embedded directly, some recipient clients show it as a file attachment instead of inline. Hosting the image at a public URL avoids this.
  • It shows as a red X or broken icon. The image link is unreachable, blocked, or was stored somewhere temporary. Use stable hosting.
  • It is huge or blurry. The source image is the wrong size. Export at 2x and set a sensible display width (see the size guide).
  • It disappears in replies. Often the signature default is not set for replies, or the recipient’s client blocks remote images. Work through the troubleshooting checklist.
