How to Give Each Department Its Own Email Signature (Automatically)
Sales, Support, and Legal often need different email signatures. Here is how to assign the right signature to each department, team, or office automatically with rules, so new hires are on brand from day one.
The short answer: Instead of assigning signatures person by person, set up assignment rules. You define a condition once (for example, “department is Sales”), and everyone who matches gets that team’s signature automatically, on Google Workspace and Microsoft 365. New hires included, with no manual step. You can see it set up on the email signature rules page.
Most teams start with one company-wide signature. That works until Sales wants a booking link, Support wants a help-center link, and Legal wants a confidentiality notice. Suddenly one template is not enough, and assigning the right one to each person by hand does not scale. Here is how to do it automatically.
Why departments need different signatures
A signature is a small piece of real estate that does real work. Different teams use it differently:
- Sales wants a meeting-booking link and a direct phone number.
- Support wants a link to the help center or status page.
- Legal and Finance often need a confidentiality or regulatory disclaimer.
- Executives may want a cleaner, minimal layout.
- Regional offices may need a local address, phone format, or language.
Trying to serve all of these from a single template means compromise. Giving each team its own template means the signature actually helps that team’s goals.
The manual way (and why it breaks)
The obvious approach is to create a template per team and then assign each person to the right one. This works for a week. Then:
- A new hire joins Sales and nobody assigns them, so they send email with the generic signature (or none).
- Someone moves from Support to Success, and their signature is now wrong.
- You reorganize, and now dozens of people need reassigning by hand.
The problem is that manual assignment is a snapshot, and your organization is a moving target. Every change becomes a chore, and the chores get skipped.
The automatic way: assignment rules
Assignment rules flip this around. Instead of assigning people to signatures, you describe who should get what, and the system keeps it true as people join, move, and leave.
A rule is made of three things:
- Conditions. Match on attributes like department, organizational unit, email domain, or email address, using operators like equals, contains, or one-of. Conditions within a rule combine with AND, so you can be as specific as you need.
- A target team. The team carries the signature, so matching members inherit that team’s template.
- A priority. Rules are checked in order, and the first rule that matches wins. More specific rules sit above broader ones.
Because the rules read from your directory, a new hire who lands in the Sales org unit gets the Sales signature the moment they sync. No ticket, no manual step.
Setting it up, step by step
- Create a template per team. Design one signature for each department or office in the drag-and-drop editor, and assign each template to a team.
- Write a rule for each team. For example: department equals Sales assigns to the Sales team. Organizational unit contains /EMEA assigns to the EMEA team.
- Order by priority. Put your most specific rules first. If someone could match two rules (say, EMEA Sales), the higher-priority rule decides.
- Let it run. As members sync from Google Workspace or Microsoft 365, each one is placed on the first matching team and gets that signature automatically.
You can see the full flow on the automatic email signature rules page.
Common rule patterns
- By function:
department is Sales→ Sales signature with a booking link.department is Support→ Support signature with a help-center link. - By office or region:
organizational unit contains /EMEA→ EMEA signature with a local address. Or match onemail domainif regions use different domains. - By seniority: route a specific org unit (for example,
/Leadership) to a cleaner executive template. - A catch-all: a low-priority rule with a broad condition gives everyone else the default company signature, so nobody is ever left without one.
Does this work on both Google Workspace and Microsoft 365?
Yes. Rules decide which team and signature a person gets, and the signature then deploys where your team works: on Google Workspace through the Marketplace app for Gmail, and on Microsoft 365 through the Firma Outlook add-in for Outlook on desktop, web, and mobile. The same rules apply across both.
Frequently asked questions
How do I give each department a different email signature? Create a template per department, then set an assignment rule for each one (for example, department equals Sales). Members who match get that department’s signature automatically, so you never assign people by hand.
What attributes can I match on? Department, organizational unit, email domain, and email address, using equals, contains, or one-of operators. Conditions within a rule combine with AND.
What happens if someone matches two rules? Rules are ordered by priority and the first match wins. Put more specific rules above broader ones, so, for example, an EMEA Sales rule can take precedence over a general Sales rule.
Do new hires get the right signature automatically? Yes. When a new member syncs from your directory, the matching rule assigns them to the right team and signature, so they are on brand from day one with no manual step.
What if I reorganize teams? Because rules read live from your directory, moving someone between departments or org units updates their signature automatically the next time they sync. You change people in one place, not signatures in two.
Is there a free way to try this? Yes. Firma has a free plan for up to 2 users with no credit card required. See pricing for larger teams, or read how centralized signature management works.
