20 Professional Email Signature Examples by Role & Industry (2026)

Copy-and-paste email signature examples for realtors, teachers, lawyers, healthcare, sales, founders, students, and more — plus what to include for each role.

A professional email signature includes your full name, job title, company, and one or two ways to reach you — nothing more. The best ones are four to six lines, easy to read on a phone, and consistent every time you send. What changes from role to role is the extra detail: a realtor needs a license number, a lawyer needs a confidentiality line, a teacher needs office hours.

Below are 20 ready-to-adapt signature examples grouped by role. Each is written as plain text you can copy, tweak, and drop into Gmail or Outlook. For the design side — spacing, logo size, layout — see our email signature examples and the size guide.

What every professional signature should include

Before the role-specific versions, the core that applies to everyone:

  • Full name (and credentials if relevant, e.g. “RN”, “Esq.“)
  • Job title and company/organization
  • One primary phone number
  • Website (and one social link, at most two)
  • A logo — kept under 400px wide

What to leave out: your email address (they already have it), multiple phone numbers, more than two social icons, and inspirational quotes.

Formatting rules that apply to all of these

  • 4–6 lines maximum. Longer signatures get skimmed past.
  • One font, two colors. Vary weight and size instead of adding fonts.
  • Keep it under 600px wide so it survives on mobile — details in the size guide.
  • Use a short reply version (just name + title) so long threads don’t fill with repeated logos.
  • End with a real sign-off above the block — see how to end an email.

Making everyone’s signature match

Individual signatures are easy to write. The hard part is consistency: once a team is more than a handful of people, everyone formats theirs differently and the brand fractures. Firma solves that by letting an admin design one signature per role and deploy it across the whole Google Workspace team — so the realtor’s license line, the lawyer’s disclaimer, and the company logo are all correct on every account, automatically. Frequently asked questions

What should a professional email signature include? Full name, job title, company, one phone number, and a website — kept to four to six lines. Add role-specific details (license number, disclaimer, credentials) only where your industry requires them.

How long should an email signature be? Four to six lines. Anything longer competes with your actual message and gets ignored.

Should I include my photo in my email signature? It’s optional and works well for client-facing roles (realtors, recruiters, consultants). Keep it a small square (80–100px) and use a JPG.

Do I need a different signature for replies? A shorter one helps. Long threads with a full logo-heavy signature on every reply become cluttered; a name-and-title reply version keeps them clean.

How do I make everyone’s signature consistent? Use a signature management tool that deploys one template across all accounts, rather than asking each person to build their own. That’s what Firma does for Google Workspace teams.

Cristian Cabrera, Founder of Firma

I built Firma so your team can have beautiful, consistent, professional email signatures — while you drink your coffee ☕️ instead of setting them up by hand for every new hire. It works like a charm with Google Workspace and Microsoft 365, and it doubles as a new marketing channel — announce a launch or promo right from everyone's signature. 😍 Here's my if you'd like to connect.
